JOB PURPOSE

To coordinate the project management of the income from three of Amnesty International's charitable trusts (Amnesty UK, Amnesty Canada, and Amnesty International Secretariat). This is a complex role gathering project information, tracking progress and spend of approximately £14m per year across a large number of International Secretariat projects. The postholder will coordinate the narrative and financial funding requests and reporting across multiple teams. The role will need to keep AIUK, AI Canada, AI International Secretariat Trustees and senior leadership informed of project progress. Key to the role will be working with programme teams to ensure allocated funds are spent on selected projects, and to track and report on any projects that for any reason deviate from their original purpose. The role will often be working to tight deadlines particularly at reporting and proposal times of year.

The role sits within the Programme Funding & Partnerships Team which has three separate functions that the postholder will work closely with: i) Global Partnerships - supports a selection of priority sections in developing and enhancing their High Value fundraising programmes and focuses on securing income from selected Global Trust and Foundations directly for the International Secretariat. ii) Programme Management & Funding (the team this role sits within) - fundraises for and manages large programmes of work funded through restricted income; iii) Major Gifts - secures income from and works with sections' Major Donor programmes. The role will also work closely with International Finance and Global Strategy & Governance.

MAIN RESPONSIBILITIES

  • To manage assessment income grants that fund projects across the IS from Amnesty UK, Amnesty Canada, and the International Secretariat charitable trusts. Supporting all aspects of grant management related to projects funded through these grants, coordinating with programme staff, GSG and International Finance. Including to advise and support the Finance and Global Strategy and Impact teams in the selection process of assessment grant projects for AIUK, AI Canada, and AIC.
  • To develop proposals and reports and work closely with AIUK, AI Canada and AIC to ensure they receive the information as required for reporting back at Trustee meetings. To provide AIUK and AI Canada on an ad hoc basis with updates and fundraising materials for projects identified as funded by assessment grants. Where requested to attend Trustee meetings and coordinate IS teams to present their work.
  • To work with the International Finance team preparing relevant financial reports for the Trustees and IS senior leadership, ensuring accountability to donors. Maintaining and carrying out budgetary control tasks, including accurate tracking of income against targets. Working with International Finance to prepare budget forecasts; processing and monitoring of income and expenditure; monitoring of monthly financial reports provided by Management Accounts in order to identify and resolve budget problems.

SKILLS AND EXPERIENCE

  • Proven work experience as Programme Officer, Project Coordinator or similar role
  • Experience in project management and/or planning, ideally in a membership organization; including experience of managing several projects simultaneously and involving a wide range of stakeholders and activities
  • Exceptional knowledge, skills and experience of all aspects of project management (work-planning, budgeting, monitoring progress, ensuring milestones are met, identifying risks and opportunities)
  • Experience of working collaboratively and of facilitating project teams with diverse interests to meet specific, timetabled, objectives
  • Experience of working on tight deadlines, managing a heavy and varied workload effectively, including handling competing demands to maintain high levels of both accuracy and output.
