JOB PURPOSE

Amnesty International is seeking a global assembly administrative assistant to provide flexible administrative support to the global assembly coordinator and other members of the governance team, for the successful delivery of the global assembly meeting.

This is Amnesty's highest decision-making body, where delegates from all over the world come together to discuss and vote on important decisions for the future of the movement.

This is an exciting opportunity to contribute to Amnesty's mission by providing high-quality administrative and logistical support for one of the organisation's core governance functions.

Please note this is a fixed-term contract position of 6 months, and the successful candidate will be expected to travel and work in Prague, Czech Republic, where the global assembly will be held in late July/early August 2025.

Interviews for this role will take place on Tuesday, 20th May, for successfully shortlisted candidates.

MAIN RESPONSIBILITIES

  • Support the Global Assembly Coordinator with the production, management and distribution of Global Assembly documentation and general communications.
  • Set up and coordinate meetings and videoconferences for the relevant Global Assembly committees and volunteers in advance of the Global Assembly Meeting.
  • Support the servicing (arranging logistics, producing summary reports) of committee meetings and communications to the Amnesty movement.
  • Set-up and co-ordinate trilingual webinars with circa 50 participants from across the Amnesty International movement.
  • Maintain accurate financial records through internal systems.
  • Maintain information on the Global Assembly website.

SKILLS AND EXPERIENCE

  • Proven experience in administration or governance support roles, preferably in an an international or non-governmental organisations.
  • Experience in organising small committee (circa 10 people) video conferences with participants across various time zones, as well as face-to-face meetings (including booking international travel and accommodation, reconciling expenses).
  • Strong organisational and multitasking skills with the ability to manage competing priorities.
  • A high level of spoken and written English is essential; French or Spanish is an advantage
  • Attention to detail and accuracy in preparing documents and maintaining records.
  • Proficiency in Microsoft Office Suite and familiarity with database management systems.
