JOB PURPOSE

To assist the organisational (finance, human resources, facilities, legal, IT and administration) functions of Amnesty International's Sub Regional Office. 

ABOUT YOU

As the Finance and Office assistant, you will be fluent in written and spoken English as well as either French or Dutch. You will have experience in an administrative office role and will be able to have the ability to deal effectively with suppliers, officers within government administration functions and external contacts.

MAIN RESPONSIBILITIES

  • Organise local and regional meetings, including agenda distribution, minute taking, booking/setting up rooms, coordinating and distributing output etc.
  • Ensure EIO advocacy staff are registered on the European Institutions transparency registers, enrolling new staff and ensuring entry passes are renewed as required.
  • Support the Finance Manager in ensuring the cash flow of the office is managed to ensure sufficient liquid reserves and minimal exchange rate risk, in conjunction with the IS London Finance team.
  • Support the maintenance of office infrastructure including facility management, power management, equipment maintenance and asset management
  • Ensure that IT System and Information Security policies are understood and followed by all staff in the office.

SKILLS AND EXPERIENCE

  • Experience of dealing with suppliers, officers within government administration functions and external contacts; ideally will have maintained a relevant local network.
  • Fluent in written and spoken English and French or Dutch.
  • Experience of monitoring budgets and an ability to identify budget problems and communicate to the relevant staff.
  • Experience in bookkeeping and payroll/HR support.
  • Experience of supporting relocating international staff in settling into new location, providing immigration liaison support, organizing accommodation etc.
